software built for someone whose current system was already working.
The situation
real estate expediting in New York means navigating the municipal permitting process for multiple properties simultaneously — ZBA hearings, construction sign-offs, variance applications, legalizations. each project is at a different stage. each has its own contacts, deadlines, and bureaucratic history.
the person i built this for had 16 active projects and a system that worked: paper, memory, phone calls, and decades of pattern recognition. nothing was dropping. no hearings were being missed.
the problem wasn't that things were broken. it was that the system had no redundancy. every piece of operational knowledge lived entirely in one person's head — and a missed ZBA hearing costs a client months.
How i approached it
before writing a line of code, i spent time understanding the workflow as it actually existed. which information gets checked first thing in the morning? what does “following up on a project” actually involve? where do contacts live? what makes a hearing date different from any other deadline?
the product emerged from those answers, not from a feature list. a weekly focus view that mirrors how a good week gets planned. an activity feed that creates the audit trail that used to be mental. contacts tied to each project so nothing requires a separate search.
the hardest constraint: no onboarding. someone who has run this operation for decades has no patience for a tutorial. the software had to earn its place on the first open — or it wouldn't get a second one.
